GDPR – Privacy Notice

The Security and Privacy of our residents, their relatives and their representatives are extremely important to us, we have therefore issued this Privacy Notice which relates to our Finance Department.
The data held and processed in respect of our residents, their relatives and their representatives within the Finance Department is solely used for accounting purposes, we share the information with accounting professionals in the production of our day to day accounting functions and to produce our Limited Company Accounts as required by law.

We liaise with funding agencies where appropriate to ensure the correct funding is in place and accounted for, examples of these agencies are – Brighton & Hove City Council, East Sussex County Council, B&H Clinical Commissioning Group, out of area Clinical Commission Groups and other Local Authorities.

Every resident is issued with a unique reference number on admission to help ensure the Security and Privacy of our residents.

The information held is as follows:
Residents’ name, DOB, funding status, admission date, care fee charges
Relatives and representatives address, telephone number, email address

  • We use this information as follows:
    To prepare our internal invoicing systems ready to produce care fee sales invoices
    Issue care fee sales invoices
    Carry out credit control functions where necessary
  • To ensure the correct care fees are in place together with funding where applicable
  • We ensure your information is:
    Secure at all times within the Finance Department
  • Computerised data is password protected
  • Paper documents are secured and locked away
  • Our Policy Notice for the Finance Department is issued under the Lawful Basis of GDPR.

Should you require further information under your Right to Access Data please contact the Nursing Home Manager who will liaise with the Finance Department to ensure your requests are met.

National Data Opt Out:
At this time, we do not share any data for planning and research purposes for which the national data opt-out would apply. We review all of the confidential resident information we process on an annual basis to ensure it is not used for research and planning purposes. If it is, then individuals can decide to stop their information being shared for this purpose.
